Organisational support for, and reporting from, an advisory board meeting

The client

A US biopharmaceutical company.

The challenge

Our client wished to gain the advice and input of relevant therapy area experts on their planned Phase III clinical trial programme for a novel treatment for genital herpes. The attending experts had been identified and the decision made to hold the meeting in New Orleans around the time of IDWeek 2016. However, our client needed support in finding a suitable venue in the city and in capturing the critical discussions that would occur during the meeting.

The solution

Aspire Scientific identified and booked a suitable venue and worked with hotel representatives in the weeks before the meeting, and on-site, to ensure that everything ran smoothly on the day. One of our most experienced medical writers also attended the meeting, taking notes that informed the report and other deliverables we later developed. These deliverables included: (1) an ‘ad board highlights’ slide deck, delivered within 2 days after the meeting so that our client could review the key themes and take-home messages from the experts’ discussions; (2) a more detailed written meeting report delivered within 2 weeks of the meeting that summarised the discussions in greater depth for the interested reader; and (3) a full transcript of the meeting, provided so that our client could refer to the full discussions when needed and if, for example, questions on a specific topic arose in the future.
