Scientific Project Executive


Key roles and responsibilities

 Project and task management

  • Responsible for supporting tasks within allocated projects. Partnering with Senior Medical Writers/Medical Writers (SMW/MW) and receiving support from wider SAPM team, as required
  • Developing basic knowledge of project stages, to enable anticipation of the next step in a project and to proactively contribute to project progression
  • Managing assigned tasks, contributing to successful, high-quality, and timely execution 
  • Ensuring correct filing and document management procedures are followed
  • Working with the writing team, setting up and updating project timelines based on agreed process and templates
  • Monitoring timelines and tracking project milestones
  • Effectively communicating actions and contributions to task management to the wider internal team, as appropriate

Finance and resource management

  • Timely and accurate support with assigned aspects of project finance, to include scopes of work, work orders, change orders, reconciliations, and invoicing
  • Tracking and flagging out-of-scope working
  • Completing financial trackers
  • Liaising with the client finance admin team
  • Able to attend client calls and accurately capture information relating to specific projects/areas of responsibility
  • Support completing FL spreadsheets where requested

Client management and project scoping

  • Ensure client briefing documents are completed and saved appropriately
  • Support SPM and SPL in tracking actions for allocated tasks
  • Follow client finance management processes
  • Follow client company processes, and ensure updates are made when requested

Mentoring, training, and wider responsibilities

  • Take responsibility for personal development, working with line manager to set personal objectives and proactively manage growth
  • Take on feedback and actively contribute to training opportunities
  • Provide proactive, constructive feedback on the performance of colleagues
  • Support senior team members with new/organic business
  • Follow company procedures 
  • Ensure professional and efficient communication
  • Build knowledge of the fundamental principles of industry guidelines
