Scientific Project Manager
Key roles and responsibilities
Management of and responsibility for assigned projects
- With the support of other client account team members (including the Scientific Account and Project Management (SAPM) team where aligned), take responsibility for the management of individual projects, with accountability for individual tasks within large/complex projects, as assigned.
- Manage assigned tasks and take responsibility for their successful, high-quality, and timely execution, demonstrating a high degree of independence and meticulous attention to detail.
- With the support of other team members, work to anticipate and solve issues, escalate these issues as quickly as possible, and identify where improvements can be made to ensure the smooth running of projects.
- Ensure that correct filing and document management procedures are followed, and encourage colleagues to do the same.
- Work with the writing team to set up project timelines based on the agreed process and templates.
- Monitor timelines and track project milestones, and identify and flag any variations from timelines to the client team.
Finance and resource management
- With the support of the Account Lead, manage project finance; this includes developing scopes of work, completing client invoice trackers, work orders, change orders, and reconciliations, and invoicing.
- Set up and track projects in a timely and accurate manner using Paprika; provide guidance to other team members, as requested.
- Track and flag out-of-scope working, and support team awareness of budgeted hours.
- With the support of the Account Lead, complete account financial trackers; this includes monthly tasks, such as forecasting.
- Ensure that client finance processes are adhered to and that our knowledge of these processes is up to date.
- Act as the key point of contact for the client finance admin team.
- Contribute to internal and client discussions on finance management for allocated projects in a confident and meaningful manner.
- Support the Account Lead with accurate freelance management on allocated projects, as requested.
- Complete accurate timesheets and encourage team members to do the same, adhering to the time coding policy.
Client management and project scoping
- Act as a role model for project processes to ensure that effective briefing takes place (completion of booking form and confirmation of brief where in use) and that project financial documents are accurately aligned with the brief.
- Develop a basic knowledge of client products and priorities to enable full understanding of the brief and client objectives for each project.
- Attend client TCs where appropriate and input for allocated projects, prepare for client status calls, and update status slides or status trackers, as required.
- Input to client meeting agendas and produce high-quality, action-focused, meeting minutes.
- Track actions agreed in meetings and follow-up accordingly, as requested.
- Work to understand and flag any concerns around client questions and feedback.
- Offer proactive suggestions for addressing feedback and contribute to meetings to discuss feedback.
Mentoring, training, and wider responsibilities
- Take responsibility for personal development, working with line manager to set personal objectives and proactively manage growth.
- Invite and take on feedback to grow and develop.
- Provide proactive, constructive feedback on the performance of colleagues, both day to day and when requested as part of the appraisal process.
- Attend and actively contribute to training courses and apply learnings to ongoing work.
- Act as a mentor to team members, as appropriate. For example, on financial or project management best practice.
- Support senior team members with new/organic business growth, as requested.
- Follow company procedures, including, but not limited to, editorial procedures.
- Liaise with clients, healthcare professionals, contractors, and any other relevant third parties in a professional, courteous, and efficient manner.
- Build knowledge of relevant industry guidelines, including, but not limited to, Good Publication Practice and International Committee of Medical Journal Editors Recommendations for the Conduct, Reporting, Editing, and Publication of Scholarly Work in Medical Journals.
